Information We Collect

When you register as a member or player, we collect personal information including full name, date of birth, gender, contact details, parent or guardian details for junior players, emergency contact information, medical information relevant to participation and safety, and payment information for registration fees.

Player registration is managed through PlayHQ, the Basketball Australia registration platform. Information collected through PlayHQ is also subject to Basketball Australia’s privacy policy. PlayHQ collects player profiles, team allocations, game statistics, and payment records.

We may also take photographs and videos at club events and games for club communication purposes. Consent is obtained from parents or guardians for use of images of junior players, in accordance with our Social Media Policy (POL-021).

When you visit ramblers.net.au, we collect standard web analytics data including IP addresses, browser type, and pages visited for the purpose of improving the website.

How We Use Personal Information

We use personal information to administer memberships and player registrations, communicate with members about club activities and updates, process fee payments, ensure the safety and welfare of participants (particularly children), meet our obligations to Basketball ACT and Basketball Australia, and comply with legal obligations.

We do not sell or trade personal information.

Who We Share Information With

We may share information with Basketball ACT and Basketball Australia for registration and insurance purposes, coaches, team managers, and committee members in the normal course of club operations, third-party service providers necessary for club operations (such as payment processors and PlayHQ), who are bound by confidentiality obligations, and law enforcement or regulatory authorities where required by law.

Data Storage and Security

Personal information is stored in the PlayHQ platform (managed by Basketball Australia), Microsoft 365 (SharePoint and Teams), hosted on Microsoft’s secure cloud infrastructure, and club-maintained records accessible only to authorised committee members.

We take reasonable steps to protect personal information from misuse, loss, and unauthorised access. Committee members with access to personal data are expected to treat it with confidentiality and in accordance with POL-004.
